Modelling

When you enable the setting “Show breakdowns” in the navigation panel (see image) a model will show up both in the list for its model type, and also where the model is used as a breakdown. In the example below, the model “Deliver” is shown under the “Process model” heading since it is of type process model, and as a breakdown under the general model “Startpage”, since the “Startpage” model contains a breakdown to the model “Deliver”.

The most common reason to why a model does not appear after an import is that the model existed earlier in the repository but has been removed. If the choice “Overwrite existing content if it is older” was selected during the import the action “Remove model” may have been the latest event for the model and it will not be imported. To verify if this is the problem, run the import again and look under the tab “Details” when the import has finished:

To force the import of the model, run the import again and select the option “Always overwrite existing content”:

If you have removed a model by accident you can restore it by:

  1. Click on “Browser” in the left panel
  2. Double-click “Models” to open a new tab
  3. Click on the arrow for more options
  4. Click on the trash can with a clock on it
  5. Pick the model you want to restore

Copy and object by right-clicking on the object and choose “Copy” (short command CTRL + C). Paste the object as a copy by right-clicking on the model surface and choose “Paste as copy” (short command CTRL + Shift + V). The new object will then have the word “Copy” in its title. The object then has a completely new ID and changes you make will not affect the original object. 

If you would rather copy the object and reuse it somewhere else, you copy the object in the same way but pasting it by right-clicking on the model surface and choose “Paste” (short command CTRL + V). Changes in the properties of the object will then affect the original object since it’s the same object reused. These changes could for example be field values, texts in descriptions, or document links connected to the object. Changes you make regarding size or color of the symbol will not affect the original object. 

The setting “Make borrowed objects transparent” will make objects whose home model is a different model than the current one transparent. Those objects which are not transparent have the current model as their “home”. You can change home model by right-clicking on an object att choose “Set this model as home”. 

The home model is for example useful in the published material when the end-user searches for an object in the search field. When clicking on the object the end-user searched for, the home model will be opened. 

You can turn the function on and off by clicking the gearwheel in the Toolbar.

Quickdraw is activated in the toolbar and is used to quickly build a model from existing symbols.

Hold the mouse over a symbol to show arrows in the directions where suggestions for relations to new symbols exist. Hold the mouse over an arrow to show the suggested symbols in that direction. When you click on a symbol you will get to choose a title in the same way as when you add a symbol by clicking in the model.

The keyboard shortcut to toggle Quickdraw is Ctrl+Q. If you want different suggestions in Quickdraw, this can be configured from 2c8 Administration Tool.

Click on the Browser in the bottom of the left panel. Double click on “Descriptions and fields”.

When you’ve double-clicked on “Description and fields” you can see the standard fields and descriptions added in 2c8 Modeling Tool by default. Add a new field by clicking on the plus sign. Name the field and choose the field type. The following field types exist:

Checklist: A list with checkboxes where you enter a value for each checkbox.
Formatted text: This will be shown as a description field. Is saved as HTML and can consist of charts, images, and more.
Object: Refers to an object of a specified type in the repository.
Relations: Custom relation.
Dropdown: A dropdown there you can choose among the specified values.
Number: A number within specified values.
Text: A row of text.

Last but not least, you need to connect the field to types. This means the field will only be available on the types you’ve chosen. For example on models or specific object types. 

When you have made these settings and saved the field it will be available under “Properties” – “Fields” on the models and objects you have chosen to connect the field to. 

Create a new model by clicking on “Models” in the left panel. Click on the plus sign to create a new model. 

Choose a model type of your new model and name it. Then click “OK”

If you open the Browser and filter on objects, there may appear some objects with a cross in the corner. This cross means that the object exists in the repository but it is not currently used in any model. You can place this object in a model and reuse it. The data and properties are still connected to the object. 

You can also remove objects which are not used in any models by selecting them and removing them by clicking on the trash can in the toolbar of the Browser. 

A breakdown of an object or a relation is created to describe the object or relation in the form of another model. With the help of breakdowns, you can navigate through different levels of the business, from the main process map down to activities. To create a new breakdown you right-click on the object or model you want to break down. Choose “Breakdowns” and thereafter “Create new”.

If a breakdown already exists on the object or relation these will be visible in the menu for breakdowns. Multiple breakdowns on an object or a relation will appear as a dropdown menu in the published material when you click on the object or relation.

You can either choose to break down the object or relation to an existing model or create a new model as a breakdown. 

Click on the “share”-button in the toolbar to share a model with a colleague via e-mail. Choose if you want to share the models as an image, a PDF-report, or a Word-report. 

Right-click on an object and select “Document” – “New Document Link”.

Enter the document link, scroll to its destination and / or select the document type.

You have now created a new document link and linked it to an object.

There are several reasons why you may not be able to connect to the server. If you get an error message that says “Could not connect to server”, you should check the following:

  1. Check your internet connection.
  2. Make sure the server can be accessed from the network you are on. Maybe you are on a network outside of the organization that your IT does not allow to connect to the server from.
  3. If you run your own server, you should contact your IT-support so that they can check that the server is running and that everything looks as it should.

If you get an error message that the username or password is incorrect, you need to contact an administrator with the 2c8 Modeling Tool who can restore your user information. Read more about this here.

To remove a breakdown on an object or relation you simply right click on the object/relation, go to “Breakdowns”, and hover over the breakdown you want to remove, and select “Remove breakdown”.

To connect a document to an object or model, you go to document in the left panel. Here you can see all documents added to 2c8 Apps. Drag and drop the document to the object or model you want to connect it to.

You can also add documents by right-clicking on an object or model, click on “Properties” and go to the “Document” tab to the left. Click on the plus sign to add a document.

Repository

Open 2c8 Modeling Tool and click on the tab “Local” in the left top corner of the software. Click on the plus sign to create a new repository.

Name the repository and choose what configuration the repository should be based upon. You can also choose to create the repository from an export file. If so, check “From export file” and browse to the export file you would like to create the repository from.

If you store your local repositories on a place where there is no automatically backup it could be a good idea to create a backup.

You will find your local storage if you go to “Tools – Settings” in the menu and then choose “Local”.

A backup is also a convenient way to share a local repository with another user of 2c8 Modeling Tool.

Create a backup

  1. Open 2c8 Modeling Tool
  2. Choose the tab ”Local”
  3. Choose ”Tools – Backup repositories…” in the menu
  4. Select which repository you want to backup
  5. Click on “Create backup”
  6. Choose a file name and a location

If necessary you can restore one or more of your repository by following the instructions below.

Restore a backup

  1. Open 2c8 Modeling Tool
  2. Click on the tab ”Local”
  3. Go to ”Tools – Restore repositories” in the menu
  4. Find the backup file and click on “Open”
  5. Make sure all repositories you would like to restore is selected
  6. Click on “Restore”

You will find your restored repositories under the tab “Local”. Note that if the repository already exists, the backup will overwrite the existing one. To avoid overwriting repositories, change the name of the repository before you click on “Restore”.

Are you about to change computer och taking over a colleagues license and wonder how you get access to local repositories? There are two methods you can use:

  1. Create a backup of your local repositories, read about how here.
  2. Use the export/import feature described below.

Export:

  1. Open your repository
  2. Select “File – Export – Export content…” from the top menu
  3. Select “Export everything and save the export file in a known location
  4. Share the export file with your colleague, for instance by email or a shared network area.

Import:

  1. Open a repository (new or existing)
  2. Select “File – Import – Import content…” from the top menu
  3. Browse to and select the export file
  4. Click “Next” in the dialog. You can choose to only overwrite existing content if it is older, or to always overwrite existing content with the content from the export file. For an empty repository, this choice does not matter. Click “Next” again and stick with the default options if you are unsure.
  5. Click on “Finish”.

Go to the “Local” or “Server” tab, depending on if you want to create a local repository on you computer or a repository on a server.

You will then see the repository manager, here all repositories will be listed. Click on the plus sign to create a new repository.

First, name the repository. Here you can also choose to create a repository from an export file or an empty repository. If you have several configurations avaliable, you can in the drop down choose what configuration the repository will be based on. Then click on “OK”.

The first thing to check, if you can’t see your local repositories, is where these repositories are being saved. You can do this by clicking on the menu “Tools”- “Settings”. Click on the tab “Local” and see what catalog the searchway is pointing toward under “Current catalog:”. The next thing to do is to make sure that you local repositories actually are avaliable here. Open up your computers browser and navigate to the folder with the repositories. If you can’t find the repositories here, they won’t be visible in the 2c8 Modeling Tool application either.

Publish

The web publication is built and designed to be placed and shown through a web server, for example, Microsoft IIS or Apache http Server. We recommend that the published material is placed on a web server since this results in optimal performance when the end-user when visiting the publication in a browser.

The web publication can also be shown directly from a disk, for example, C: or a corporate network disk with a device name such as G:. Cloud-based services for file storage, such as Dropbox, Google Drive or Microsoft OneDrive can be used to share a publication between users, but not to show the published material directly from the cloud-based service. These services usually don’t offer a webserver service. A web publication can also be shown in SharePoint Online, but we recommend that the published material is put on a web server outside SharePoint Online and then shown through an iFrame or something similar. If you have recently published your material, but believe the models have not been updated, you may need to clear the browser’s cache memory. Try opening the published material in another internet browser and see if it looks okay. If it does, you need to clear the browser cache in the original browser you tried to view the publication in. In most browsers, this is performed under “Settings” and “History”.

This means someone else is publishing material to the location where the publication is placed, at the same time you are trying to view it. Wait some time and try viewing the publication again later.

Sometimes an error message may appear that says “Could not load pages”. This problem is often due to the browser’s cache memory. Try opening the publication in another internet browser. If the publication works in the other browser the problem is most likely due to the cache memory. Resolve the issue by clearing the browser’s cache memory. In most browsers, this is performed under “Settings” och “History”.

Do you want to show your published material from a web server to your intranet? If so, you can use an IFrame. An IFrame is an HTML document embedded in another HTML document on a website. IFrames are used to show content on one website from another website. The content of an IFrame can be configured as interactive with its own scrollbar and click-function. Totally independent of the surrounding web page’s scroll.

The following code snippet can be used to add an IFrame on a webpage:

You need to remove the spaces marked in the picture below:

Where we have written: https://publicering.2c8.com, you will change this to the destination where you publish your models.

In a channel in Microsoft Teams, you can show your published material created in 2c8. This means you will be able to click around and navigate in the models – in Teams. This is how you show your published material in Teams:

  1. Create a new tab in your channel
    Click on the channel where you want to display the published material. Click on the little plus-sign.

     
  2. Add a website
    The new tab will consist of a website. Choose “Website” in the list.

     
  3. Choose a website
    The next step is to name the tab. In this case, we name the tab “2c8 Publish”. After that, we paste the URL where our published material is located. Note that the end-users must have access to this location. After you’ve pasted the URL, click on “Save”.

     
  4. Result
    The result of this is a tab available furthest up in the menu of the channel, where you can click and navigate in the published material – in Teams.

The font, size, and color on the description for your objects or models are connected to the settings in your web profile. The settings in your web profile decide what the text in the description should look like. You can also choose to use the settings of the web profile in your description of the properties of an object or a model. This way, the description text on objects and models in your repository will look the same as it will in the published material since you have the same settings.

Go to the web profile by clicking “Tools” – “Publish” and choose the web profile you want to edit. Click on the edit pen to edit it.

In the tab for general settings, you can edit the appearance of the published material.

Internet Explorer is not supported in the latest web profile, which was released in version 5.3 of 2c8 Apps. If you would like to view the published material in Internet Explorer, we suggest you use the old web profile available under “Tools” – “Publish”.

You can choose to show lists in different areas and different ways in the published material.

Panels

You can choose to show the content of the lists in panels of the published material. This is a setting you make in the web profile by editing the panel where you want the list to show. Click on “Add information” and choose “List”.

Choose which list you want to show, adapt its title, or filter it on the active model. You can also choose if you want to show the list for both mobile users and computer users.

Menu

You can also choose to show the list in the menu. Click on the edit pen for the menu. Add another menu item in the menu, either as a dropdown or straight to the menu.

When you’ve chosen to show a list in the menu, a popup will appear where you can edit the information in the list. If you want to edit an existing list in the menu, double-click on the edit pen that appears when hovering over the list.

In the popup, you choose which list you want to show and if it should have an adapted title. You can also choose if the list should be filtered on the active model and if you want to show it as a dropdown.

If you choose to not show the list as a dropdown, it will appear as a popup in the published material instead.

This can be due to different reasons, but a common explanation is that you have made a selection of models to publish in the web profile where these models are not included. Edit the web profile by selecting “Tools – Publish” in the menu, click on your web profile, and then on the pen icon. Click on the edit pen in the general settings area under “Models to publish”.

The option “All models” will include all models in the web publication. You can also make a selection of models by using the option “Select”. If you want to include breakdown models from your selection you need to check “Include breakdowns to other models”. You can also choose models to publish based on a filter that you create, or a list of models that you have already created in 2c8 Modeling Tool.

If your desired models are not included in the web publication after you checked your selection of models, troubleshoot by using the following list:

  1. Are you publishing the correct language?
  2. Are you publishing only the latest approved versions of models? If yes, are your models approved?
  3. Are you publishing only models with a specific status? If yes, do your models have the correct status?
  4. Are you publishing only models with a specific category? If yes, do your models have the correct category?
  5. Are you publishing to the correct location?

This is a setting in the web profile. In the menu, click on “Tools” – “Publish” and dubbleclick on the web profile you use when publishing.

In the web profile, hover over the model surface and click on the “edit” button in the top right corner.

Activate the setting “Follow link when clicking object” and select “Open document”. This means that when you click on an object the document will not be shown in the left panel, but opened up immediately when the object is clicked. You can also create a custom layout where you filter the selection of objects where this setting should be applied. However, In the example below, we have chosen to apply the setting to all objects.

Server

A draft model in 2c8 Lite, that is, a model located in the “My models” area, is sent for maintenance when the 2c8 Lite user clicks on the workflow icon and then on “Send model”:

To import the draft model to your desired repository an administrator user in 2c8 Modeling Tool with the permission “Accept drafts” need to import the draft to the repository:

1. Open the Dashboard in the Repository Manager
2. Double-click on the draft model in the blue area “New models in 2c8 Lite”
3. Choose the repository to import to and click “Select”
4. Choose the model type, set Workflow roles and then click “Import draft”

If you get the following error message:

Please check:

  1. Check that you have a working internet connection.
  2. If the server was added manually, go to “Tools – Settings” and the “Servers”:
  3. Doubleclick the server and check that hostname, http-port and the “Use SSL” settings are correct.


  4. If the server is a customer internal server, check with your IT if there is any problems with the server (is it up and running?)
  5. If the server is hosted by 2c8, contact our support.

You need to be an administrator user on the server to add another user. Go to “User and Permissions” after you’ve logged in to the server.

Click on the title “Server users” and then click on “New user”.

We recommend that you dont remove users from the server, since this will lead to a loss of data/history of the user. Every model or object the user have created will then say it was created by “Removed User”, which is not optimal. Instead of removing the user, we recommend that you disable the user from the server. Read more about how you disable a user here.

Perhaps you added the user by mistake? If so, you can remove the user from the server. You have to be an administrator user to remove another user. Go to “Users and Permissions” and click on the user. Then click “Remove”.

Go to “Users and Permissions” and check the box “Show disabled users”. The disabled/inactive users will be shown under “Server users” but they will be grayed out.

Click on “Tools” – “Start Administration Tool…”.

Click on the little “login”-button to log in to the server.

You are now logged in to Adminstration Tool and the right hand part of Administration Tool is dedicated to server settings. Settings regarding the server is made under “Default server profiles” and “Server repository configuration”.

You need to be an administrator user on the server to set permissions. Go to “Users and permissions” and click on the user. Under “Permissions” you can set the permissions. “Create repository” lets the user create new repositories on the server. “Accept draft” lets the user accept draft sent from a 2c8 Lite user.

If you have forgotten your password, you need to contact an administrator user on your server to reset your password. The password is reset under “Users and permissions” on the server.

Log in to the server. Go to “Users and permissions” as illustrated in the image below.

Click on the user you wish to inactivate/disable on the server and uncheck the box “Enabled”.

The user is now disabled.

In order for a 2c8 Lite user to see models in a repository on a shared server, an administrator user in 2c8 Modeling Tool has to assign models to the user.

  1. The 2c8 Lite user must be added to the current repository by a user of 2c8 Modeling Tool. This is done under “Users and Permissions” in the Repository Manager. Drag the user from “Server users” and drop it on the repository in question.
  1. The 2c8 Modeling Tool user then need to open the current repository. Go to Workflow (Browser – Double click on Workflow). Select current models, right-click and set the user(s) who will be the maintainers, reviewers and/or approvers.Note that the different Workflow roles can be held by more than one user, for example, there may be more than one maintainer.

You can put different privileges for users, roles and groups in a repository. These privileges control what users are allowed and not allowed to do in a repository.

In this example, we show you how to put privileges for one user in a repository. Go to “Users and rights” on the server. Under “Repository”, select the current repository. Uncheck “User in repository” and click on the user you want to set privileges for. To the right, you can now decide which privileges the user should have in the current repository.

The same principle applies when setting privileges for groups or roles.

General

There are different scenarios where you might want to move a license from one person to another. For example if someone goes on maternity leave, quits or switch position.

To move a license to another person, send an email to invoice@2c8.com or fill out this form and choose “Questions about licenses or invoices” under “Type”. It’s important that you send us contact information both of the person who is taking over the license and also of the person that has the license today.

We charge an administrative fee to move a license to another person. Exceptions are if the person goes on maternity leave, gets sick and have to leave work or quits from the organisation. For more information, please send an email to invoice@2c8.com.

Download the software and install it. At first program start you will have to enter a license key, which you can request by filling out this form.

Sometimes our support may ask you for your log file.

Go to “Help -Support” in the menu.

Click on “Log file” and save on a appropriate location on your computer.

Attach in a mail to support@2c8.com

If you have forgotten your password, you need to contact an administrator user on your server to reset your password. The password is reset under “Users and permissions” on the server.

If you don’t know who your administrator is, please contact support@2c8.com.

To install a plugin, you need to follow these steps:

  1. In the menu click on “Tools” – “Settings”.
  2. Go to the “Plug-in” tab and then to the “Avaliable” tab. Here you see all the plugins that are avaliable. Select the plug-in you want to install and click on “Install”.

Once you have installed the plug-in, they will appear under the tab “Installed”. You must have a license for each plug-in to use them. Contact us if you are interested in any of our plug-ins.

Color profiles are something that you create in a repository. Click “Tools” – “Color Profiles” to create a new color profile.

  1. Click on the plus sign to create a new color profile. Name it and click “OK”.

2. Here you can set colors for different objects. When you have finished the color settings, click “OK” to save the new color profile.

3. Your new color profile is now available in the drop-down menu. Select your new color profile and click “OK”. You have now selected the color profile for the current repository.

4. Would you like to have the same color profile for all new repositories created on the server? Start off by exporting the color profile you have created by clicking on it and then click on the export-button. Save it to your computer.

5. The next step is to import the color profile on the server and you do this via the Administration Tool. Start Administration Tool by clicking “Tools” – “Start Administration Tool ..” from the repository manager.

6. Log in to the server in the Administration Tool by clicking on the login symbol.

7. Under “Default server profiles”, you then import your new web profile. Click “Import” and select the color profile you just saved. Click “Open”.

You have now imported the color profile on the server and it is now available to select from the list of color profiles for each repository on the server under “Tools” – “Color Profiles”.
